Planning meeting #1

Meeting 1 brings together senior managers and decision-makers for the purpose of getting an overview of the Safer intervention and agreeing to adopt it and its focus on off-campus parties. General questions are answered and any concerns are aired at this meeting.

The major objective for the first planning meeting is to adopt the overall action plan to address alcohol-related problems at off-campus parties.

Preparation: As discussed in the management plan overview, it is important to invite key decision makers from the campus, and the community to obtain their buy-in and support for the project. You may want invite senior campus administrators (e.g. Vice-Chancellor) to attend the project overview section of the meeting and obtain their overall support, although this could be done in advance. Your assembled group of stakeholders will make up the planning team that includes senior alcohol prevention staff, campus and/or city police chiefs, and other key campus administrators from specific departments.. The advance work (meeting with stakeholders) should prove invaluable in guiding the planning team through the Safer PowerPoint presentation overview and action plan discussion. You should have a good sense of what your project partners are currently doing to address student alcohol issues be prepared to address potential obstacles as they arise (see “Anticipating Obstacles”). Once you obtain a commitment to the action plan, it is time to lay the groundwork for the next planning meeting. It is appropriate for the police chiefs to select a senior operational officer to join the planning team and invite officers that would be in charge of implementing the enforcement operations. In the second meeting, lead persons for visibility and enforcement will be selected to coordinate the components of the action plan. Also, the group can nominate other key stakeholder(s) that should be invited to join the team, though again, the team should be kept as small as possible.

  1. Recruit any additional necessary stakeholders for planning and implementation teams
  2. Request planning team members gather additional information regarding any concerns to resolve at next meeting
